How useful is this policy?

We attach great importance to the protection and confidentiality of your personal data, which represent for us a pledge of seriousness and trust.

The data privacy policy is a clear demonstration of our commitment to ensuring compliance with applicable data protection rules and, in particular, those of the General Data Protection Regulation (“GDPR”). 

In particular, the privacy policy aims to inform you about how and why we process your data in the context of the services we provide.  

Who is this policy for?

The policy applies to you, if you are over 15 years of age, regardless of where you live, whether you are a customer, a prospective customer (“lead”), a user of Flexteam software, an applicant for a position with FlexTeam, or just a visitor to www.flexteam.fr.

If you are under 15 years of age, you may not use our services without the prior express consent of one of your parents, which must be provided in writing to gdpr@flexteam.fr. If you believe that we may be holding information about a child of yours under the age of 15 without consent, you may request that we delete it at gdpr@flexteam.fr. 

The policy only addresses processing that we perform ourselves and not processing that may be performed using the Flexteam tool features by our customers. If you would like information about the data processed by our customers using these features, please contact them directly. 

Why do we process your data?

Within the framework of the services offered, we are necessarily led to process your personal data for the following reasons and bases: 

So that you can benefit from our services (e.g. creation of administrator and user accounts, management of travel and diaries, exchanges between teams, etc.) and to respond to your requests (e.g. requests for information, complaints, etc.) on the basis of our general terms and conditions of sale, our general terms and conditions of use, and our legitimate interest in providing you with the best possible service. 


To keep you informed of our latest offers and events by email, and by phone, based on our legitimate interest in customer loyalty. 


So that you can follow us on social networks and share your opinions on the basis of the general terms of use of the platform used (e.g. Facebook, LinkedIn…) and our legitimate interest in having a dedicated page on social networks.


So that you can chat with our chatbot at any time on the basis of its general terms of use and our legitimate interest in offering you an adapted instant chat service. 


So that you can apply for a position with FlexTeam based on the discussions we have with you during the recruitment process and our legitimate interest in recruiting and selecting candidates.


To ensure and enhance the security and quality of our day-to-day services (e.g., statistics, data security, etc.) based on our legal obligations, our terms and conditions and our legitimate interest in ensuring the proper functioning of our services. 


Finally, we may also install “Cookies” on your terminal. For more information on the use of “Cookies”, we invite you to consult our “Cookies Policy”. 

We undertake to process your data only for the purposes described above and we guarantee that none of your data will ever be sold to a partner or a third party.  On the other hand, when you voluntarily post content on the pages we publish on social networks, you acknowledge that you are fully responsible for any personal information you may transmit, regardless of the nature and origin of the information provided.  

What data do we process and for how long?

We have summarized the categories of personal data that we collect directly from you or via databases of potential customers, and their respective retention periods.

Professional identification and contact data (e.g. last name, first name, professional email address, professional address, etc.) retained for the duration of the provision of the service plus the legal limitation periods which are generally 5 years.


Professional data (e.g. position, grade, diary, etc.) kept for the duration of the provision of the service plus the legal limitation periods which are generally 5 years.


Images or profile photographs (optional) kept for the duration of the provision of the service plus the legal limitation periods, which are generally 5 years.


Data for commercial and marketing purposes (e.g. email address, etc.) kept for a maximum of 3 years from the last contact we had with you. 


Data indicated, in case of application to Flexteam, in your CV and cover letter kept for the duration of the recruitment process and then for 2 years after your application. 


Connection data (e.g. logs, IP address, etc.) kept for a period of 1 year. 

We specify that in no case do we collect identity documents concerning you (e.g.: identity card or passport, social security number or driving license). 

When the retention periods summarized above expire, we delete all of your personal data to ensure your privacy for years to come.  

The deletion of your personal data is irreversible and we will no longer be able to provide you with your personal data after this period. At most, we can only keep anonymous data for statistical purposes. 

Please also note that in the event of litigation, we are obliged to keep all data concerning you for the entire duration of the processing of the case, even after the expiry of the retention periods described above. 

What rights do you have to control the use of your data?

We implement all the technical and organizational means required to guarantee the security of your data on a daily basis and, in particular, to fight against any risk of destruction, loss, alteration, or disclosure of your data that would not be authorized.

For example, the passwords of our teams are complex. In addition, your data is backed up regularly and encrypted to guarantee a reinforced security on a daily basis.

Can your data be transferred outside the European Union?

Unless strictly necessary and on an exceptional basis, we never transfer your data outside the European Union and your data is always hosted in the European Union. In addition, we make every effort to use only service providers who host your data within the European Union.  

Should our service providers nevertheless transfer your personal data outside the European Union, we take great care to ensure that they implement appropriate safeguards to ensure the confidentiality and protection of your data.

Can the policy be changed?

We may change our privacy policy at any time to adapt it to new legal requirements and to new processing operations that we may implement in the future. You will of course be informed of any changes to this policy.
